Accommodation Booking Terms and Conditions

1.     Introduction

Please can you take a few minutes to read these terms as they provide information regarding our contract to provide you with accommodation.


We shall send you a copy of these terms and conditions by email when you make your booking. Please can the principal person (who has made the booking) then print off, sign at the bottom (to indicate acceptance of these terms) and return a copy to us at the address given below.


2.     Passports, Visas and Health Certificates

You are responsible for ensuring that all necessary travel documents are valid and effective. You will need a current passport for travel outside the UK. Some passport holders may require visas for Portugal. You are responsible for obtaining the correct and valid visas and any health certificates required if you have come from a country where certain diseases (yellow fever etc) are prevalent.

 

3. Travel
You are responsible for arranging & ensuring your travel to and from the accommodation. We cannot be held liable for any loss or expense incurred if for any reason you cannot reach any point in your journey at the intended or required time. We are not liable for any delays or cancellations to flights or other public transport and we are not involved in their booking or management.

4. Insurance and Health
Under EEC regulations you must have insurance to travel to Europe. This is for your own protection and will ensure you get the best and quickest service should you have an injury. We are not acting as  a holiday tour operator or agent and cannot provide or arrange air ambulance or other such services. It is your responsibility to look after your own welfare. Our local agent will be contactable to try to assist you should you run into emergency difficulties where he/she can help.

5. Booking Accommodation
We require at least an initial 10% deposit (minimum of £100) to secure your accommodation reservation. Your deposit is your only commitment until 6 weeks prior to departure by when the full price must be paid. Upon receipt of your deposit we will send or give you a receipt for your booking and we will tell you when the final payment is due.  If the balance remains unpaid within 6 weeks before the departure date, we reserve the right to cancel your booking at any time and make a cancellation charge as shown below (7).

Prices are based upon numbers of rooms and persons booking. The number of rooms used and number of persons staying at the accommodation must not exceed that which we have agreed and will be stated on the welcome pack - unless by prior agreement with us.

Payment is accepted by cash, cheque, PayPal, debit and most major credit cards.


6. Cancellation of a booking
If you or any member of your group wish to cancel your accommodation, you must notify us in writing. The date of cancellation is the date that your written confirmation is received by us. The person who signs the booking form must also sign the notification of cancellation. Cancellation charges will apply as per the scale below (7).

 

7. Cancellation Charges

These cancellation charges apply unless otherwise stated on our contract with you.

8. Changing a booking
If after making your booking and receiving confirmation from us, you wish to change to booking on different dates, we will do our up most to make the changes provided notification is received in writing 15 days prior to departure. This must be accompanied by an amendment fee of £10 per person (with a maximum charge of £50 per booking).

9. Exceptional Circumstances

In exceptional circumstances we may have to cancel your accommodation. If this should happen we would return to you all the money you have paid us. We will not cancel your accommodation during the three weeks prior to the departure date unless:

·         You have not paid for your accommodation in full.

·         Your holiday is influenced by events beyond our control such as war or threat of war, riots, effects of natural events (earthquakes, volcanic eruptions etc) epidemics, bad weather, technical problems to transport, closure of ports, terrorist activities or government action or similar events beyond our control.

We are not liable for cancellation or alternation of travel arrangements you may have made because of our cancellation. We will make best endeavours however to assist you where we can. If your departure is hindered by events beyond our control i.e. strikes, port closures, breakdowns of public transport etc, we will not be held liable for compensation, payments or refunds. We reserve the right to change to change your accommodation and we will do all within our power to substitute the booked accommodation with another of the same standard.  We must point out that we reserve the unconditional right to refuse a booking or terminate a passenger’s accommodation in the event of unreasonable conduct.

 

10. Complaints

If you have a complaint with the accommodation please immediately inform the local agent who will do his/her best to rectify the problem, if your problem cannot be put right on the spot, you must record the details of the complaint with the local agent and in the complaint book provided in the accommodation. We will not consider any claims if this procedure is not adhered to.


11. Entrance Fees, Taxes, Service Charges, Tolls etc

Unless stated these are not included in the accommodation price.

12. Other points:

·         we shall send you a welcome pack once we have received deposit payment - in the unlikely event that we cannot accommodate your booking at this stage, we will return your deposit in full

·         entry and leaving times are 12 noon unless otherwise agreed

·         guests may not bring in third party tradesmen or agents at any time

·         we reserve the right to charge for loss, damage or breakages

·         in the event of failure of any devices , please contact the local agent to arrange repair

·         we cannot be held responsible for any interruptions to water or electricity mains

·         linen and towels (two per person) will be changed before new arrivals and thereafter every week
